Registration Guidelines

All participants must register for the conference through our official website: https://sakyadhita2025.kbs.org.my/. Registration fees vary according to participants’ residential status as follows:

* The Registration fees cover the conference package, official ceremonies, social programs, refreshments and lunch.

Terms and Conditions of Registration

    1. Registration will be capped at 800 participants due to venue capacity.
    2. The organisers reserve the right to decline registrations once the maximum capacity is reached, even if this occurs before the registration deadline.
    3. To ensure your participation, completing your registration as early as possible is strongly advised.
    4. All materials recorded or photographed during the conference may be shared through Sakyadhita’s official website and social media platforms.

How to Pay the Registration Fee

FOR INTERNATIONAL PARTICIPANTS (NON- MALAYSIAN):

  • If your payment is not confirmed by 31 May 2025, your registration will be automatically canceled.

  • For group registrations of 20 participants or more, please email sarawak2025reg@gmail.com. We will provide you with the group registration form (in Excel format) along with the bank account details. Once your group is ready, kindly complete the form and transfer the total registration fees to the designated bank account by 31 May 2025.

  • The registration fee must be paid via PayPal. If you experience any issues with the PayPal system, please email sarawak2025reg@gmail.com, and we will provide you with the necessary bank account details for a wire transfer.
  • Wire Transfer
    • All bank charges are the responsibility of the registrant and should not be deducted from the total amount remitted.
    • Please make the transfer using the same name you used for registration.
    • After the transfer, please email a copy of the receipt to sarawak2025reg@gmail.com with the registrant’s name.

FOR MALAYSIAN PARTICIPANTS:

  • For Malaysian participants, payments in Ringgit Malaysia MUST be made via Online Transfer/Interbank Giro (IBG)/Instant Transfer/DuitNow/Cash Deposit/Cheque/Bank Draft payable to the following:

  • Upon completing the payment, Participants must provide proof of payment by attaching the payment remittance (proof of payment) to the Google Form (Registration Form for Malaysian) as provided. 
  • An email confirming registration will be sent only after the required fees and registration details have been received. Registration confirmation will be granted once the registration department validates the complete payment, which may take up to five working days.
  • For group registrations of 20 participants or more, please email sakyadhita2025@gmail.com. We will provide you with the group registration form (in Excel format) along with the bank account details. Once your group is ready, kindly complete the form and transfer the total registration fees to the designated bank account by 31 May 2025.
  • For Malaysian participants, please direct any inquiries regarding registration or post-registration matters to sakyadhita2025@gmail.com.

SUBSTITUTION POLICY

  • The deadline for substitutions is 31st May 2025.
  • Registered delegates unable to attend the session may nominate an alternate. Substitution requests must be submitted in writing to the Conference Registration Secretariat before 31st May 2025, via email at:
    • sakyadhita2025@gmail.com (for Malaysian participants)
    • sarawak2025reg@gmail.com (for a International participants)
  • Unless the registrations are under group submission, substitution requests received before the deadline are subject to a processing fee of USD 25 (for international participants) or RM100 (for Malaysian participants). Group registrations are exempt from the processing fee.
  • Unless the registrations are under group submission, substitution requests received after the deadline are subject to a processing fee of USD 50 (for international participants) or RM200 (for Malaysian participants). Group registrations are exempt from the processing fee.

CANCELLATION POLICY

If you wish to cancel your registration, you may choose between two options for cancellations made before the deadline:

1. Refund Option: Receive an 80% refund of the fees paid. Please note that refunds will only be processed after 1 July 2025.

2. Contribution Option: Opt to contribute your 80% refund to support the participation of nuns and laywomen from developing countries, helping them join this event.

For cancellations made after the deadline, no refunds will be provided, and all fees will be allocated to support the participation of nuns and laywomen from developing countries.

Please also note the following:

  • Cancellation deadline is 31st May 2025.
  • All cancellation requests must be submitted in writing to the Secretariat via email at:
      • sakyadhita2025@gmail.com (for Malaysian participants)
      • sarawak2025reg@gmail.com (for international participants)
  • All deadlines are based on Malaysian Standard Time (GMT+8).
  • Cancellation requests received after the deadline will not be entertained and are subject to full charges, including no-shows. No refunds of any kind will be provided for paid registrations.
